Preparing a Malaysian booking file for external review

Most delay in a booking-application audit is not arithmetic. It is waiting for papers that should already sit with the confirmation: the tariff or clinic price list for those dates, the deposit receipt, the cancellation note, and the occupancy or attendance sheet.

For Malaysian hotels and clinics we also look for the documents local counters actually use — walk-in cards, SST invoices, identity copies taken at check-in where the house rule requires them, and any government or corporate letter that justified a special rate. If the desk used them, they belong in the file we are given.

PDPA 2010 still applies when guest or patient files leave the property. We take only what the engagement needs, keep it for the period in the letter, and return or destroy copies as agreed. That is easier when you send a defined batch rather than an open login to the reservation screen.

A one-page index at the front of each electronic folder saves both sides days. We would rather read the application than reconstruct it.
