Booking application file audit

A record-by-record reading of booking applications: the diary entry, the rate applied, the deposit, and whether the stay or appointment actually matches what was written.

Hotels, clinics, venues, and facility counters that keep a booking diary · Typically 2–5 weeks per batch

This is the work we are asked for most often. A property or clinic hands us a defined set of booking applications — room nights, treatment slots, hall hire, or counter appointments — and we test whether each application supports the rate charged, the date given, and the person who arrived.

We treat the application as a record, not as a screen status. The confirmation, the rate card or tariff in force that day, the deposit slip, the cancellation note, and the occupancy or attendance sheet have to tell the same story. Where they do not, we write the difference in ringgit or in a missed slot, not as a slogan about ‘process gaps’.

The deliverable is a working paper per sampled application and a batch schedule: supported bookings, questioned bookings, and items that cannot be concluded without a missing folio, consent form, or diary page.

On the engagement

  • Sampling plan agreed before the first application is opened
  • Match of booked date, name, and product to the diary and the arrival record
  • Rate and package check against the tariff or clinic list in force that day
  • Exception log with a recommended next action per application
